How To Automate Email In Airtable? Here is All You Need to Know!

By the end of this blog, you would be an expert like any other tech-person and be setting your automated emails on Airtable. Shall we dive straight into it then?

4-Easy Steps of Automating An Email In Airtable

  • Setup

This is the initial step. Under this, you are required to click on the “automations” option at the top of your screen on the right-hand side. Then, press the “new automation” option to proceed with the setup process. 

  • Trigger

Next, you have to choose a trigger. For this, click the “trigger” category and “choose a trigger.” Under this, you have the option to select the data input either from the airtable base or externally.  

For instance, we choose a trigger from the base given. For the tutorial, we would go with “when record matches condition.”

The next thing in this step is that you will be filling out a precise form and answer along. Begin with choosing an option from the “table.”

In this step, for example, we opted for automation around “interactions.” 

Once done, you will be asked out to fill the conditions. You can add multiple conditions narrowing down your options. It works more like a filter.

For this, we selected the “type” and then the “pricing discussions.”

After adding all the conditions, you want to, you “run test.”

 If the test is successful, you are good to move onto the next step. Also, you are already halfway down in automating your email in Airtable.

  • Action 

In this step, you are supposed to choose an option of how you want to send the email. You can choose to deliver the email via Gmail, Slack, Airtable, and other applications, among several options given.

For the tutorial, we chose Gmail to complete the action. 

Upon clicking any option, you will notice a form emerging on your Airtable base. Here, you will fill out the basic information like the sender’s account, the subject, and the message.

For the subject, you can have both static and dynamic text. Dynamic text is the record that changes every time, whereas static text is something that will be there every time. 

  • Show More Options

Before completing the text, you are given the option of adding more options. Under this, you are asked for “CC,” “BCC,” “For Name,” “For Address,” and “Reply to.” 

You then test run again, and upon successful test running, you are basically DONE!

After the entire process, you will be given an option to preview the options you selected, and if confirmed, you click to switch the “on” option on the top-right of your screen.
